Industrial valve RFQ checklist: how to obtain comparable quotations
“Gate valve DN300 PN16” is not a complete inquiry. It produces clarification loops or quotations based on different assumptions. A useful RFQ separates mandatory requirements from preferences and ties the offered price to a defined technical configuration.

Provide process and design conditions
State fluid name and composition, operating and design pressure and temperature, flow rate, direction, solids and transient cases. For hazardous service, identify toxicity, flammability, emissions requirements and area classification.
Use a line list when conditions vary. Do not combine valves from different services into one item merely because DN and PN match.
Define the mechanical interface
Specify valve type, bore, stem arrangement, installation position, flange or weld-end standard, face-to-face dimension and required materials. For replacement work, include the old nameplate, drawings and verified site dimensions.
For actuators, define power, control signal, enclosure, ambient range, hazardous area, indication and required fail position.
State inspection and document requirements
Name the test standard, leakage criterion, witness and hold points, third-party inspection and NDT scope. List the expected datasheet, general arrangement drawing, material certificates, test reports, manual and final data book.
Commercial inputs include quantities, delivery sequence, Incoterms, destination, preservation, packaging, documentation language and quotation validity.
Evaluate technical equality before price
Compare deviations, materials, pressure-temperature rating and testing before comparing price. A blank or qualified datasheet is not technically equal to a fully guaranteed offer.
A bid-evaluation table should show each requirement, supplier response, deviation, engineering comment, owner and closure status. This also preserves the decision trail for later inspection.
