Industrial valve manufacturing record book: MRB contents
A manufacturing record book should let the purchaser trace the delivered valve from approved design through materials, manufacture, testing and shipment. Quality depends on document linkage and completeness, not on the number of PDF pages.

Agree the MRB index at order stage
Create a document requirement list with title, supplier document number, purchaser number, language, format, submission milestone and approval code. Use it as the MRB skeleton from the start of production.
Separate documents submitted for approval from final as-built records. State whether one dossier covers a batch or whether each valve tag needs a dedicated traceability package.
Include the approved design baseline
The dossier should contain the final datasheet, general arrangement drawing, bill of materials, approved deviations and relevant calculations or qualification references required by the contract.
Mark documents as as-built and ensure revisions match the delivered configuration. Superseded drawings should not appear without clear status because they create uncertainty during maintenance.
Build a material traceability section
Provide the materials list, heat or cast mapping and required inspection certificates for body, bonnet, closure member, stem, bolting and other controlled parts. Add PMI, hardness, impact or heat-treatment results where specified.
A traceability matrix should connect valve tag or serial number to component and certificate. Loose certificates with no mapping are difficult to verify and easy to assign incorrectly.
Capture manufacturing and special-process records
Include welding and repair procedures, personnel qualifications where contractually required, weld maps, consumables, NDE reports, heat-treatment charts and repair approvals. Record subcontracted operations under the same document-control system.
Assembly records may include packing and gasket identification, critical clearances, torque values, antistatic checks and actuator setup. Scope depends on valve design and project risk.
Provide traceable test and inspection results
Include signed ITP, dimensional reports, shell and seat pressure tests, functional tests, coating reports and qualification evidence required by the datasheet. Reports should identify equipment, calibrated instruments and actual acceptance values.
When inspection is witnessed, include signed release notes and inspector records. Close every nonconformance with disposition, approval and retest evidence before final compilation.
Complete conformity, preservation and release records
Add required declarations or certificates, nameplate and marking records, manuals, spare-parts lists, preservation procedure, packing list, photographs and shipping release. Destination-specific documents should match the commercial shipment description.
Run a final completeness check against the agreed index. Use searchable files, bookmarks and stable names. The purchaser should be able to locate evidence by valve tag, material heat, test report or document category without reconstructing the dossier.
