Separate spare categories
Commissioning spares cover likely installation and startup damage. Operating spares support planned service over a stated period. Capital or insurance spares cover rare, high-impact failures.
Define each category and ownership in the purchase order. Keep installation consumables separate from long-term stock.
Build from the installed population
Map every tag to model, size, rating, materials, seat, packing, actuator and accessory. Group only genuinely interchangeable configurations.
Use quantity, duty, cycle rate, fluid severity and maintenance interval to estimate need.
Prioritise by risk and lead time
Consider process criticality, redundancy, shutdown impact, shelf life and supplier lead time. A low-cost custom seal can be more critical than a stocked gearbox.
Include actuator electronics, solenoids, positioners and limit switches where their failure risk justifies stock.
Control preservation and identification
Pack kits by valve model and material, label part numbers and compatible tags, and provide drawings and replacement instructions. Record storage temperature and shelf life.
Review stock after commissioning and at maintenance intervals. Replace consumed or expired items and capture actual failure history.
